To-dos

The forward-looking half of the timeline: what still needs doing, who it is assigned to, and when it is due.

A timeline records what has already happened to a record. A to-do records what still needs to happen to it. Between them they cover the whole picture: the phone was dropped last Tuesday, and someone needs to get the screen replaced by Friday.

Creating a to-do

To-dos are not created from the To-dos page. They are created from the record they belong to, using the To-do button in the actions menu of any asset, subscription, person or location — see managing assets for where that button sits. Every to-do therefore belongs to something, which is what lets you open a record later and see both its history and what is still outstanding on it.

A to-do holds:

  • To-do — a short name for what needs doing.
  • Notes — the detail behind it.
  • Due on — an optional date.
  • Assigned to — the user responsible. Leave it unset if nobody has picked it up yet.

Each to-do also has Comments and Attachments tabs, so a quote, a photo of the fault or a conversation about it stays attached to the job rather than living in someone's inbox.

The To-dos page

Open the To-dos page from the main menu, or with Ctrl / Command + 6. It lists the to-do, the Resource it belongs to, who it is Assigned To and its Due Date, and every column sorts.

By default you see your own outstanding to-dos, which is the list most people want when they open it. Two toggles widen that:

  • Show All Organization Todos — everyone's, not just yours. This is the supervisor's view of what the team owes.
  • Include Completed To-dos — brings finished work back into the list, for checking what was done rather than what is left.

Tick the checkbox beside a to-do to complete it, and untick it to reopen it if it was closed too early.

Due dates are colour coded: a date still ahead shows amber, and one that has passed shows red, so overdue work is visible without reading any dates.

Being told about a to-do

Assigning a to-do to someone raises a notification on the bell in their top navigation bar, showing what it is, who assigned it and when it is due. Clicking it opens that to-do directly.

Assigning something to yourself does not notify you, on the sensible grounds that you already know.

The dashboard also carries a My To-dos card that shows what is assigned to you and lets you complete items without leaving the dashboard.
