Location events

Log inspections, maintenance and other events on a location, customize the event types, and let an event change the location's status.

Location events record what happens to a place rather than to the equipment in it: an inspection, a maintenance visit, a lease renewal, the day a site closes. Each one lands on the location's timeline alongside its assignments.

Every organization starts with two location events, Inspection and Maintenance. Add your own for anything else you track on your sites.

Customizing location events

Open the blue + button in the main menu, choose Events under Setup, then select the Locations tab at the top of the page.

Press Add Event to create your own, or click an existing event to change it. Each event has an icon, a colour and its own fields. Every location event starts with Date, Time and Notes, and you can add custom fields such as the inspector's name, a permit number or the contractor who did the work. The field types available are text box, number, date, checkbox, Yes / No / NA selector and phone number.

Drag events to reorder them, and disable any your organization does not use. The events AssetCenter ships with can be disabled but not deleted, and an event you created cannot be deleted once it has been logged.

Changing the location's status

When logged, set the location to lets an event change the location's status. An event such as Closed can set the location to Inactive, and one such as Opened can set it back to Active. The change is recorded on the location's timeline. Leave it blank for events that should not touch the status.

The status only changes when the event is first logged, not when an old event is edited later.

Logging an event on a location

Open the location, press the actions button and choose Event. Pick the event, fill in its fields and press Save. If the event changes the location's status, a note above the fields says so before you save.

You can add comments and attachments while the event is still open, such as an inspection certificate, and they are saved with it. Closing without saving discards the event and anything attached to it.

Click an event on the location's timeline to edit it, add comments or attachments, or delete it.
