Healthcare asset management for records your team can keep current.

The infusion pump assigned to the wrong department. The portable ultrasound moved to another clinic. The C-arm whose service contract expires at quarter-close. AssetCenter gives healthcare operations teams one place to track equipment identity, custody, location, service evidence, documents, costs and lifecycle history without pretending to replace RTLS or a clinical CMMS.

Product fit

What healthcare asset management software should track—and when it is not enough

AssetCenter is a practical operational system of record for teams that need equipment identity and custody connected to documented work, files, costs, and lifecycle history.

Equipment identity and custody

Record asset tags, serials, models, departments, current locations, responsible people, and the complete assignment history.

Service and recall evidence

Document preventive maintenance, repairs, inspections, recall actions, condition changes, notes, costs, and supporting files after your team performs the work.

Coverage and lifecycle planning

Keep purchase data, warranties, service contracts, useful life, upcoming work, and decommission events with the equipment record.

Scope: Use a specialized system when you need continuous real-time locating, automatic device discovery or recall intake, calibration work orders, parts inventory, or clinical engineering integrations. AssetCenter can preserve the operational record alongside those systems; it does not replace them.

Where healthcare equipment records usually break

Operations, clinical engineering, facilities and finance often maintain different pieces of the same equipment story. A useful system connects those records without claiming that one database performs every locating, maintenance, regulatory or accounting workflow.

"Where's the Alaris on 4-West?"

See the location and responsible person last recorded for each unit, together with earlier assignment changes. The answer is only as current as the team's last update; this is not continuous locating.

Keep PM and recall actions visible

Create upcoming to-dos and record completed maintenance, calibration, service and recall work on the equipment timeline. Recall identification remains with your approved external source and process.

Start with one clinic or department

Import a spreadsheet or exported equipment list, verify the fields and assignments your team can maintain, then add other locations after the workflow is working.

Customizable categories

Group devices the way your clinicians talk about them.

Imaging. Patient Monitors. Infusion Pumps. Ventilators. Defibrillators. Surgical Instruments. Sterilizers. Lab Analyzers. Endoscopy. Beds & Stretchers. Wheelchairs. Fleet & Ambulances. IT & Workstations on Wheels. PPE.

Every category gets its own custom fields, so a ventilator can record identifiers, PM interval and last calibration while a workstation on wheels can record MAC address, software build and battery cycle count.

  • Custom fields per category: capture identifiers such as UDI, tube count on imaging systems, battery age on defibrillators, or software version on monitors.
  • Manufacturer logos auto-applied: GE Healthcare, Philips, Siemens Healthineers, Stryker, Medtronic, Baxter, Hill-Rom, Dräger, BD, and 200+ more.
  • Live category breakdowns on the dashboard, so you instantly see where your fleet capital is concentrated.

Asset timeline

The recorded history of a device from purchase to decommission.

Open any asset and see the history your team has recorded: purchase and cost, earlier assignments, completed PM, recall actions, service calls, condition changes, notes, costs and supporting files.

When equipment appears on a depreciation schedule, an internal review or an OEM recall list, the record gives the responsible team one place to verify what was documented and what still needs action.

Log what matters on your floors.

Start with built-in events such as Maintenance, Repair, Broken, Vandalism and Accidental Damage, or define events and fields for electrical safety tests, calibration, recall response, software patches, loaner swaps and other work your team records.

Preventive maintenance

Record a completed PM with the date, technician, result, notes, costs, files and any category-specific fields the team has configured.

Recall response

Once an approved source identifies affected units, record each action, file and completion note against the equipment involved.

Incident

Record the date, condition, notes and photos associated with damaged equipment while the details are available.

Record updates

Keep assignments, coverage and lifecycle changes with the asset.

Record a telemetry pack's move from 3-North to the ED, reassign a portable ultrasound to OB, update a service contract, add a biomed note or retire an end-of-life monitor. Saved assignments and events remain visible in the asset's history.

  • Change owner, change unit or room, manage service contracts
  • Renew warranty & update device condition
  • To-dos and quick notes attached to the asset
  • Record retirement and disposition without deleting earlier history

The AssetCenter bulk import screen: upload a template file, validate it for errors, then process the import, with options to create missing categories, people and locations.

Bring existing records

Bring your inventory in from your spreadsheet.

Download the template, add the equipment fields you already maintain, upload it for validation, and review errors before processing the import. You can choose whether the import creates missing categories, people and locations.

Evaluation questions

Healthcare asset management software FAQs

Does AssetCenter locate medical equipment in real time?

No. Staff can record and update the current person and location assignment, but AssetCenter does not include RTLS tags, gateways, BLE or continuous room-level locating. Optional GPS tracking is intended for compatible mobile assets reporting outdoor positions, not room-level clinical locating.

Can AssetCenter replace a healthcare CMMS?

Not when the team requires specialist work orders, calibration procedures, technician dispatch, parts inventory, device discovery, or clinical engineering integrations. AssetCenter is suited to the shared equipment register, custody, documents, costs, and recorded lifecycle history.

Can it track preventive maintenance and recall work?

Teams can create upcoming to-dos and record completed maintenance, inspections, calibration and recall actions with dates, notes, costs and files. AssetCenter does not monitor recall sources or identify affected devices automatically.

What should a healthcare team test during a trial?

Import representative equipment from several categories, confirm identity and assignment fields, record one service event with evidence, create an upcoming task, transfer an item, and export the result. The test should include the people expected to maintain the data.
