Church inventory that outlasts the volunteer who built it

The wireless mics the youth ministry borrowed for camp. The projector donated in memory of a longtime member. The folding tables lent to the neighborhood association. One record for sound and video gear, instruments, classroom and kitchen equipment, furniture, vehicles and the staff, volunteers and groups using them. The inventory stops living in one person's spreadsheet.

Follow a wireless mic kit to youth camp and back

Example: the youth ministry borrows wireless mic kit AV-0031 for a weekend retreat. It was donated two years ago in memory of a longtime member, and the sound team needs it back for Sunday. Keep the donation, the loan and the return on one record.

  1. Step 1

    Record the kit once

Create AV-0031 in a Sound & AV category with its serial numbers and photos. Add category fields named Donated by, In memory of and Ministry, so the gift is recorded with the equipment rather than in a binder.

    Add category fields
  2. Step 2

Lend it with a return date

Assign the kit to the youth pastor, move it to the retreat location and set Saturday as the return date. The record shows it as Due Back Saturday, so the sound team knows where it is before they go looking.

    Assignments and loans
  3. Step 3

    Check it back in

When the kit comes back, record the loan as returned and update its condition. If a receiver pack is missing, add a quick note and a to-do for the youth pastor, which notifies them in the app.

    How to-dos work
  4. Step 4

    Hand the inventory on

Filter by category and export the list to Excel for the trustees or the insurer. When the sound team lead changes, reassign their equipment to the new lead and the history stays with each item.

What church asset management software should track

Church asset management software should keep one inventory of everything the church owns, with who looks after each item, which room or campus it is in, whether it was bought or donated, what is lent out and when it is due back, and its warranty, repairs and replacement value.

Use AssetCenter for the equipment inventory

  • Track sound and video gear, instruments, computers, classroom, nursery and kitchen equipment, furniture and vehicles
  • Record donations with a donor, memorial or ministry field on the item
  • Lend items to members, ministries and outside groups with a return date
  • Export the inventory with values for trustees, an insurer or an annual review

Keep members, giving and rooms in your ChMS

AssetCenter is not church management software. It does not hold your member directory, record giving or issue contribution statements, book rooms, or do fund accounting. It is the equipment inventory that sits beside those systems.

Plan what your church inventory should include

Why church inventories drift

Church equipment is looked after by volunteers who change, spread across rooms that serve several ministries, and lent out on trust. A list that belongs to one person goes stale the day they step back.

Volunteers change

Give each team lead a login limited to the categories they look after. When a lead steps back, reassign their equipment and the history stays with each item.

Gifts deserve a record

A memorial gift or a donated piano should carry its story. Category fields keep the donor, the memorial and any conditions on the item itself.

Ready for the insurer

After a break-in, fire or flood, an itemized list with photos, serial numbers and values is what a claim needs. Export it in minutes rather than rebuilding it from memory.

Customizable categories

Group equipment the way your ministries use it.

Sound & AV. Livestream. Instruments. Lighting. Computers. Children's Ministry. Kitchen & Fellowship Hall. Furniture. Grounds. Vehicles.

Each category gets its own fields, so an instrument carries its tuning or service date, a donated item its donor and memorial, and the church van its plate, registration and insurance renewal. Category email alerts warn you before warranties expire.

  • Campuses and rooms: make each campus a location and add the sanctuary, classrooms and storage closets as spaces inside it.
  • Labels that scan: print QR or barcode tags and open any item's record from a phone.
The Category Custom Fields screen in AssetCenter, for adding a named field of a chosen type to a category and marking it required.
The AssetCenter bulk import screen: upload a template file, validate it for errors, then process the import, with options to create missing categories, people and locations.

Start from what you have

Bring the old spreadsheet with you.

Most churches have a list somewhere: a trustee's spreadsheet, the sound team's notes, an insurance schedule. Copy it into the import template, validate every row, and let the import create the rooms, people and categories it mentions. Then walk the building with a phone and fill the gaps.

Church asset management software FAQs

Each durable item the church owns: sound and video equipment, instruments, computers, classroom and nursery equipment, kitchen appliances, furniture and vehicles. For each one, keep who is responsible for it, which room or campus it is in, what it cost or who donated it, its warranty and repairs, and what has been lent out.

Yes. Assign the item to a person or a location with a return date to make it a loan that shows as Due Back, then record the return. People who are not part of the church can be added as external people with their organization's name.

Yes. Invite volunteers as users and limit each one to the categories they look after, such as the sound team to Sound & AV. People who only borrow equipment do not need a login at all.

No. It does not manage members, giving, donations for tax receipts, room booking or fund accounting. It is the equipment inventory that sits beside your church management system.

AssetCenter offers discounted pricing to nonprofit institutions. Create your account, email info@assetcenter.app, and the team will validate and activate the discounted pricing.
