Methodology: how we selected and evaluated products

We chose seven products that represent distinct answers to the broad query rather than seven nearly identical asset registers. A candidate had to be available to US organizations, have an active official product site, publish enough first-party information to verify its scope, and fit a recognizable operating model. No vendor paid for inclusion, and there are no affiliate links.

We reviewed official product, documentation, and pricing pages for:

  1. fit for the stated operating model;
  2. asset identity and lifecycle history;
  3. import, mobile, scanning, custody, maintenance, inspection, and exception workflows where relevant;
  4. depth in discovery, work orders, fleet operations, stock control, depreciation, or accounting;
  5. roles, authentication, auditability, exports, APIs, and integrations where publicly documented;
  6. implementation and ongoing administration; and
  7. public licensing units, limits, quote requirements, and likely three-year cost drivers.

We did not deploy all seven products with the same sample data, benchmark reliability, test support, conduct security assessments, negotiate contracts, or verify every integration. The word asset describes several different units of work. Decide which record must be authoritative before comparing feature lists.

A category decision flow

  1. Is the main unit a quantity or SKU? Start with inventory software. If each item needs its own identity and history, continue.
  2. Is the main job maintenance execution? Start with a CMMS. If maintenance is only one event in a wider custody history, continue.
  3. Are most records vehicles? Start with fleet software. If the estate spans equipment, devices, furniture, and other categories, continue.

  • several departments need configurable forms and workflows;
  • mobile audits, inspections, reservations, or maintenance must share an asset platform;
  • the organization has an owner for design and ongoing administration; and
  • a scoped implementation and personalized quote fit the buying process.

Look elsewhere when:

  • the team wants a smaller, opinionated lifecycle register with public monthly limits;
  • the buyer cannot obtain a written feature, service, integration, and renewal-price scope; or
  • the expected configuration effort is larger than the operating problem.

Reftab organizes its offering into hardware management, software management, and complete IT management. The hardware plans cover barcode and QR workflows, mobile apps, checkout and return, reservations, reports, custom fields, accessories, and progressively deeper automation and integrations. That makes it a practical candidate for shared equipment, loan programs, and IT teams that may later connect identity, MDM, vendor, ticketing, or communication systems.

The packaging matters. A buyer comparing a basic checkout requirement should not price the same configuration as a team that needs automated SaaS discovery and every hardware integration.

4. Snipe-IT: for open-source and self-hosted control

Snipe-IT is an open-source IT asset register available as free self-hosted software or vendor-managed hosting. It is centered on individually tracked hardware, assignments, accessories, consumables, components, licenses, users, and API-supported workflows. Unlimited users and assets make its licensing model notably different from asset- or seat-capped subscriptions.

  • unlimited users and asset counts matter; or
  • the team can responsibly own the self-hosted application or prefers managed hosting.

Look elsewhere when:

  • no one can own backups, upgrades, monitoring, security, and recovery;
  • automatic network and endpoint discovery is assumed to be included;

MaintainX is a CMMS and maintenance-operations platform. Its center of gravity is work orders, procedures, requests, preventive and meter-based maintenance, inspections, parts inventory, purchasing, downtime, and maintenance analytics. Asset records provide the equipment context for that work.

That is the right shape when the organization’s failure is missed maintenance or weak execution. It can be unnecessarily broad when the actual requirement is a general register for custody, documents, cost, and lifecycle events across equipment that receives little maintenance.

Those connected fleet records make it a credible choice when the managed population is primarily cars, vans, trucks, or other road vehicles.

Fleet specialization is the reason to choose it and the reason not to stretch it across every asset category. A facilities team should not force laptops, furniture, instruments, and shared tools into a vehicle operating model simply to reduce the number of systems.

Choose Fleetio when:

  • vehicle service, inspections, issues, fuel, and operating cost belong together;
  • fleet integrations and vehicle-specific reporting are required;
  • the buyer can model price by fleet size and plan band; or
  • a vehicle system should own the authoritative fleet record.

Look elsewhere when:

  • vehicles are only a small part of a mixed physical-asset estate;

7. Sortly: for visual inventory and stock workflows

Sortly is a mobile-oriented inventory platform for unique items, quantities, folders, locations, photos, barcode and QR labels, stock alerts, jobs, and purchasing workflows. It can suit teams that need to see and move supplies, materials, parts, products, and equipment without adopting a larger warehouse system.

Its pricing language also exposes the essential category distinction: a “unique item” can have a quantity, and those quantities do not count separately against the unique-item limit. That model is useful for stock. It is different from giving every laptop, tool, or machine its own custody and lifecycle history.

Pricing checked August 27, 2026: the official Sortly pricing page lists Free at $0/month for 100 unique items and one user. Its annual promotion shows Advanced at $24/month for the first year for 500 unique items and two users, Ultra at $74/month for 2,000 unique items and five users, and Premium at $149/month for 5,000 unique items and eight users. The page states that the 50% discount applies only to the first year and a 20% annual discount applies afterward; Enterprise is quote-based.

Choose Sortly when:

  • photos, mobile counts, labels, quantities, and location folders are central;
  • supplies and equipment must share a simple inventory workflow;
  • the team understands how unique items differ from quantities; or
  • public limits make a small rollout easy to model.

Look elsewhere when:

  • every physical unit needs an independent assignment and complete event history;

A high total cannot override a mandatory failure. Mark security, export, deployment, required workflow, integration, and budget requirements as pass/fail before scoring. Eliminate a product that fails one of them even if its average looks attractive.

Use the same sample and success measures for every finalist:

Name one implementation owner and one process owner.
