Introduction

  • Welcome to AssetCenter

What AssetCenter does, how the unified timeline and dashboard fit together, and how to use this manual.

The sign up process

  • Create an account

Create a permanent Free account, sign in for the first time, and know what to set up next.

  • The plans

How the permanent Free account differs from paid plans, trials, subscriptions, and AI Asset Assistant allowances.

Navigating the app

  • The main menu

Open the main menu, search for any record, add assets, people, locations and subscriptions, and jump between the main pages with the keyboard.

  • Custom categories

Create the asset and subscription categories your records are grouped by, and set their end of life, useful life and notification rules.

  • Custom category fields

Extend a category with your own fields, such as odometer readings or account PINs, and mark them required.

  • The dashboard

A card-by-card tour of the home page: key metrics, to-dos, charts, expirations and recent activity.

  • Finding records

Searching, sorting, filtering and choosing columns on the asset, subscription, people and location lists, and saving the view you want as your default.

  • AI Asset Assistant

Ask questions about your asset inventory, use the open asset as context, research product specifications, and download answers as Excel or CSV files.

  • To-dos

The forward-looking half of the timeline: what still needs doing, who it is assigned to, and when it is due.

  • Mobile app

Install AssetCenter on a phone or tablet home screen using PWA mode, including step-by-step iPhone directions.

  • Barcode scanning

Scan an asset tag or QR code with your phone camera to jump straight to that asset, or create it on the spot if it is not in the system yet.

  • Tips and tricks

Keyboard shortcuts for the main menu, the main pages, and entering today's date on any date field.

Adding new

  • Adding assets

Record a new asset: its details and category, how it was acquired, its initial person or location assignment, whether it is a component, and its warranty.

  • Adding subscriptions

Record a new subscription and choose its billing type: recurring subscription, lifetime purchase or free.

  • Adding people

Record a new person, and mark them as external when they do not belong to your organization.

  • Adding locations

Record a new location, set its type, and mark it temporary when it has an end date.

Managing existing

The asset record: overview, current assignments, the lifecycle timeline, and everything under the actions button.

Reports

  • Reports

Where the reports live, and the filtering, sorting and Excel export that work the same way across all of them.

  • Straight Line Depreciation report

Annual depreciation, accumulated depreciation and net book value for every asset, and the three fields an asset needs to appear.

  • End Of Life Assets report

How old every asset is, when it reaches end of life, and who is holding it, so replacements can be planned rather than reacted to.

  • Asset Events report

Every lifecycle event across every asset in one table, for spotting repeat repairs, recurring damage and the assets costing you the most attention.

  • Recurring Subscription Cost report

What each subscription costs on its billing cycle and what it has cost since you started paying for it.

  • Asset Location Map report

Your locations plotted on a map with the number of assets at each, and what to do about locations that will not appear.

  • Assignment History Map report

Follow one asset through time: every location it has been assigned to, how long it was there, how often it came back, and what happened at each place.

  • GPS tracking

Connect a GPS tracker to an asset, read its live position, replay where it has been, and see every tracked asset on one map.

Settings

  • Your account

The user menu: switching between organizations, light and dark mode, editing your own details, and how two-factor authentication is set up.

  • Organization

Manage the organization itself: its name and logo, the sign-in method and SSO, exporting your data, and deleting the organization.

  • Users
