The Asset Assistant in the app

Use the AI Asset Assistant in AssetCenter for iPhone and iPad: what it knows about the screen you're on, AI sharing, suggestions, and your conversations.

Last updated

The AI Asset Assistant answers questions about your records in plain language. In the app it is the sparkles tab, and it knows what you were looking at when you opened it.

The assistant is included on some plans. If yours doesn't include it, the assistant shows Asset Assistant unavailable instead. See plans.

What it knows about

Tap the sparkles tab from anywhere, and the assistant starts with the screen you came from:

  • From an asset, subscription, person or location, it is about that record. Ask about "this asset" without repeating its tag.
  • From a list, it is about that list, with your search and filters. Ask it to summarize what you are looking at.
  • From GPS Tracking, it is about the asset you selected on the map.
  • From Home or To-dos, it can answer about any of your records.

The top of an empty conversation says what it is about, such as Ask about your AssetCenter records, with suggested questions underneath. On an asset these are Summarize maintenance for this asset and Who is this asset assigned to?; on Home they are Which assets need attention? and Which subscriptions renew soon?. Tapping a suggestion puts it in the message box, ready to send or change.

Sharing with OpenAI

The assistant uses OpenAI to write its answers. Before your first question, it explains what is shared: your question, the conversation so far, and the records relevant to it, which can include asset and subscription details, locations, people's names and assignments.

Tick I agree to share this data with OpenAI to start. The app remembers your choice for your account on that phone or iPad. To change it, open the ••• menu and choose AI Sharing. Turning sharing off stops future requests; it can't recall what was already sent.

AI is optional. Everything else in the app works without it.

Asking a question

Type in Ask a question… at the bottom of the screen and send it with the return key on the keyboard; there is no separate send button. Questions can be up to 1,000 characters.

The answer can include cards for the records it found, which open the record when you tap them, and Source or Download links. Read the answer before acting on it: it comes from your records, but the assistant can still get things wrong.

If you leave before sending, the app keeps what you typed, for each record, for up to seven days.

Your conversations

The ••• menu at the top has:

  • Conversations, a list of your earlier conversations. Tap one to carry on with it.
  • New Chat, which clears the current conversation and starts again. Clearing it removes it on the web too; your conversations about other records are kept.
  • AI Sharing, described above.

Conversations are the same on the web and in the app, so a question you start on your phone is there at your desk. A conversation about a record also appears on that record's timeline as an Asset Assistant Chat.

Plans that include the assistant have a monthly number of chats. Plan & Billing in the account menu shows how many are left this month and when the count resets.

When it can't answer

  • The assistant could not be reached. Please try again. Tap Try again to reload the conversation, then send your question again.
  • Unable to connect. Your draft is saved. You are offline. Your question is kept until you reconnect.
  • Keep your question under 1,000 characters. Shorten the question, or split it into two.
