Equipment checkout for media centers, departments and labs

The camera kit a film student took for the weekend shoot. The loaner laptop the library lent during a repair. The oscilloscope the physics lab sent to another building. One record for cameras, audio kits, laptops, AV carts, lab instruments and the students, staff and departments borrowing them. The clipboard at the checkout desk stops being the only record.

Follow a camera kit through a weekend checkout

Example: a film student checks out camera kit MC-0218 on Wednesday for a weekend shoot. It is due back Friday at five, and the next student is waiting for it. Keep the checkout, the return and the condition of the kit on one record.

  1. Step 1

    Tag the kit and set up the desk

    Label the camera body and record it in a Cameras category with its serial number and accessories in a custom field. Give the media center's desk staff a login limited to the categories they lend.

    Check it out with a return date

    Scan the label, assign the kit to Jordan Lee and set Friday as the return date. Jordan is a people record, not a user, so students do not need a login. The kit shows as Due Back Friday.

    When the kit comes back, record Person Loan Returned and update its condition. If the sensor needs cleaning or a battery is missing, log it before the next student takes the kit.
