Tool tracking for the shop, the vans and every job site

The hammer drill that went out with the Ruiz crew. The laser level nobody has seen since the Henderson job. The meter that has to come back for calibration on Friday. One place for power tools, test equipment, ladders, generators and the techs, crews and vans holding them. The Monday morning text thread stops being the tool system.

Follow one hammer drill between two crews

Example: hammer drill TL-0142 lives in the shop. Ana Ruiz takes it to a panel upgrade on Monday and brings it back Friday. The following week it goes out in Marcus Bell's van. Keep one record for the drill through both jobs, with the return and its condition between them.

  1. Step 1

Tag the tool and record it

Print a QR or barcode label for TL-0142 and stick it where it will not wear off. Create the drill in a Power Tools category with its model number, serial number, purchase price and warranty.

    Print asset tags
  2. Step 2

Scan it out with a return date

At the shop door, scan the label with a phone, assign the drill to Ana Ruiz and set Friday as the return date. The record shows it as Due Back Friday, and the shop can see who has it without calling anyone.

    How scanning works
  3. Step 3

Check it back in and note its condition

When the drill comes back, record Person Loan Returned and update its condition. If the chuck is slipping, log a repair with its cost so the next tech does not take a broken tool.

    Assignments and loans
  4. Step 4

    Send it out again

Assign TL-0142 to Marcus Bell and move it to Van 7. Its timeline now holds both jobs, the return between them and the repair, which is the history a warranty claim or a theft report asks for.

Custody, not guesswork

What tool tracking software should do for a contractor

Tool tracking software should tell you who has each tool, which van, shop or job it is at, when it is due back, and what condition it came back in, with repairs, warranties and costs on the same record. A scan at each handoff is what keeps it true.

Use AssetCenter for the tool record

  • Tag power tools, test equipment, ladders, generators and specialty tools individually
  • Scan a label with a phone to check a tool out to a tech, crew lead or van with a return date
  • Keep repairs, warranty, calibration events and purchase cost on each tool's timeline
  • See every tool at a job site, in a van or in the shop, and export the list

Keep stock, dispatch and live locating elsewhere

AssetCenter tracks tools you can name one by one. It does not count consumables or van stock, dispatch jobs, or read Bluetooth tags such as ONE-KEY or Tool Connect. Optional GPS tracking reports positions for compatible trackers on equipment worth one, like generators and trailers.

Where tools actually go missing

Most tools are not stolen from the shop. They are left on a job, lent between crews without a word, or sit broken in the back of a van while someone buys a replacement. A record of every handoff is what closes those gaps.

"Who had it last?"

Every assignment, transfer and return is dated on the tool's timeline, so the answer is on the record rather than in a group chat.

Close out the job site

Make each job a location. Before the crew demobilizes, open it and see every tool still assigned there, then move each one back to the shop or into a van.

Repairs and warranty claims

Keep the purchase date, serial number and warranty on the tool, and log each repair with its cost. Category email alerts warn you before warranties expire.

Shops, vans and job sites

Open a van or a job and see every tool in it.

Set up your shop, each service van and each active job as a location. A location record lists every tool assigned to it, and its timeline shows what moved in and out. Add spaces for shelves, gang boxes or trailers when one location is not specific enough.

  • Person and location together: a tool can be assigned to Marcus and to Van 7 at once, so you know both who and where.
  • Scan from the field: install AssetCenter on a phone's home screen and the scan button opens the tool from its label.
  • Limit who sees what: give a foreman a login limited to the tool categories they manage.

Customizable categories

Group tools the way your shop talks about them.

Power Tools. Test Equipment. Ladders. Laser Levels. Press Tools. Pipe Threaders. Generators. Cord Reels. Specialty Tools. Service Vans.

Each category gets its own fields, so a meter carries a calibration due date and certificate number, a cordless tool carries its battery platform, and a van carries its plate, VIN and registration date. Set a useful life on the category and the depreciation report works out each tool's book value.

Get running this week

Bring your tool list in from a spreadsheet.

Download the import template, paste in the tools you already listed, and validate every row before it is processed. The import can create the categories, techs and vans in your file as it goes. Then print labels for the tag numbers and start scanning.

Tool tracking software FAQs

It keeps a record of each tool a contractor owns: its tag, who has it, which van, shop or job it is at, when it is due back, and its repairs, warranty and cost. Techs update it by scanning the tool's label with a phone when it changes hands.

Scan the tool's barcode or QR label with a phone to open its record, then assign it to the tech, crew lead or van. Add a return date to make it a loan that shows as Due Back, and record Person Loan Returned or Location Loan Returned when it comes back.

It shows the person and location recorded at the last handoff, not a live position. Optional GPS tracking adds reported positions for compatible trackers on generators, trailers and other equipment that justifies one. AssetCenter does not read Bluetooth tags such as Milwaukee ONE-KEY or DeWalt Tool Connect.

No. AssetCenter tracks individually identified tools and equipment, not quantities. Keep consumables and van stock in an inventory or field service system and use AssetCenter for the durable tools that need an owner.

Not automatically. A loan shows its Due Back date on the tool and in its current assignment, and a dated to-do assigned to a supervisor notifies them in the app. Review open loans at the end of each day or week.

AssetCenter is free for up to 25 tools with no time limit. Paid plans start at $39 a month for 250 assets, and each includes a 14-day free trial without a credit card.
