Finding records

Searching, sorting, filtering and choosing columns on the asset, subscription, people and location lists, and saving the view you want as your default.

Last updated

The Assets, Subscriptions, People and Locations pages are the lists you work from day to day. Reach them from the main menu, or with Ctrl / Command and 2 to 5.

All four share the same controls, so what you learn on one applies to the rest.

Search and sort

The Search box at the top of each list narrows it as you type. Click any column heading to sort by it, and click again to reverse the direction.

Columns

The Columns button lets you choose which columns appear and what order they sit in. Turn off the ones your organization does not use and the list stops being mostly empty space.

Your choice is saved to your profile for that organization, so it persists between visits and does not affect anyone else. Reset To Default puts the original set back.

Filters

The Filters button is on the Assets and Subscriptions lists. People and Locations are filtered with the search box instead.

On assets you can filter by:

  • Category, Status and Condition.
  • Assignment — assigned to a person, to a location, to both, or No Assignment. The last one is the quickest way to find equipment nobody is accountable for.
  • Components — whether to include assets that are components of another asset. Excluding them keeps the list to whole items rather than the parts inside them.

On subscriptions you can filter by category and status.

Filters you have applied show as badges above the list, and Clear All Filters removes them all.

Saving a default view

Most people open the same filtered view every day: the deployed assets in one category, or the active subscriptions. Set the filters you want and press Save Default to make that combination how the page opens from now on.

Once saved, the buttons adjust to where you are. When the current filters match your saved defaults, Save Default greys out because there is nothing new to store. When you have changed something, Reset to Default appears to put your saved view back.

Saving asks for confirmation, since it replaces whatever defaults you had.

Export to Excel

Every one of the four lists has an Export To Excel button, and it exports what the list is currently showing — your filters, your search and your chosen columns included. Narrow the list to what you need before exporting rather than exporting everything and deleting rows afterwards.
