Barcode, QR code, RFID, BLE, and GPS are different

Barcode and QR labels are read at close range when someone deliberately scans them. They are useful when a human is already touching or inspecting the item.

Other technologies solve different locating or automation problems:

  • RFID can read compatible tags without camera line of sight and may support portal or bulk-read workflows. Its cost sits in the readers rather than the tags, so it earns its place only at high item counts passing fixed points; RFID asset tracking works through that decision.
  • BLE can support proximity or zone-level locating when tags and receivers are deployed.
  • GPS or telematics can report the location or operating data of equipped vehicles and machinery.

A barcode project should not be sold internally as real-time location tracking. It creates a reliable point-of-work interaction when the team follows the scan process.

Construction and field service teams should make that boundary explicit during evaluation: barcode scans can document handoffs, condition, maintenance, and site assignments, while continuously locating vehicles or machines requires GPS or telematics.

What hardware does a small team need?

Many teams can begin with equipment labels and the phones or tablets they already use. Test those cameras under the real lighting, distance, dirt, protective cases, and network conditions where scanning will happen.

A dedicated scanner may be justified when:

  • staff process many items at a fixed counter;
  • gloves, weather, or device restrictions make a phone awkward;
  • scan speed and repeated trigger use matter;
  • the existing mobile devices cannot reliably read the chosen label size;
  • the workflow depends on keyboard-wedge input into a specific application.

Choose hardware after testing the workflow. Buying scanners first can lock the team into equipment that does not match the environment or software.

Design the scan-to-record workflow

For each scan location, decide:

  • who is allowed to scan and update;
  • what record should open;
  • which actions should be available;
  • which fields are required before saving;
  • what happens when the asset, person, or location is unknown;
  • whether the device may lose connectivity;
  • what evidence must be attached;
  • how the team reviews incomplete or conflicting updates.

The same label can support several workflows, but each should have a clear end state.

Identification

The scan opens the item so staff can confirm the serial, category, status, custodian, or location without typing an asset number.

Checkout and return

Physical verification

The scan confirms that the observed item matches the record. Record the verification date and any discrepancy instead of treating the scan alone as proof that every field is correct.

Maintenance or condition update

The scan opens the asset at the point of work. Staff can record the event, date, resulting condition, cost, notes, and supporting photos or documents when those facts matter.

Plan for exceptions before printing everything

A useful pilot includes failures on purpose:

Staff lack permission Route the update to the assigned process owner

Do not make “scan failed” a reason to skip the update. Give staff a short alternative that preserves identity and accountability.

Run a representative pilot

Choose one category with enough variation to expose practical problems. Include different sizes, materials, locations, and custodians rather than selecting only clean records.

Test this sequence:

  1. standardize the asset identifiers;
  2. confirm the source records and current assignments;
  3. print a small batch of labels;
  4. place them where staff can scan without interfering with use or repair;
  5. scan with each device type the team expects to use;
  6. complete a handoff, return, condition check, and exception;
  7. review the saved history and permissions;
  8. revise the label or workflow before scaling.
