Turn your asset list into printable count sheets for a physical inventory: one section per location, each item listed with a tick box for found, its condition and notes, and a place for the counter to sign. Download a matching spreadsheet to record the results.
In the print dialog, set the scale to 100% or Actual size. Choose Save as PDF as the printer to keep a copy.
Running the count
- Freeze the list. Print the sheets from the register as it stands on the day, and note anything that moves during the count rather than updating the list as you go.
- Count one location at a time. Each location starts on its own page, so a sheet can go to the person counting that room, site or vehicle.
- Tick what you find, where you find it. Write down anything found that isn’t on the sheet in the notes, with its tag or serial number, rather than leaving it off.
- Sign and hand back. The counter and a checker sign each page, and fill in found, not found and found-but-not-listed at the foot.
- Investigate before correcting. An item missing from one location often turns up in another, or was moved without the register being updated.

Count sheet FAQ
A printed list of the assets expected at each location, used during a physical inventory to record which ones were found, their condition and anything found that isn’t on the list. It is the paper side of comparing your register with what is actually there.
A count where the sheet leaves out details the counter could simply copy, so they record what they see. This tool can leave off who each item is assigned to; some teams go further and count without a list at all, then reconcile afterwards.
