What the checker looks for

Missing names and categories
Every asset needs both. Rows without a category can be given one, such as Uncategorized.
Duplicate asset tags
Two assets with the same tag, ignoring capitals, so a scan can’t tell them apart.
Repeated serial numbers
Usually the same asset entered twice, or a typo.
Costs that aren’t numbers
“n/a”, “TBC” or “about 500”. Currency symbols and commas are fine and are tidied up.
Dates that aren’t dates
Anything that can’t be read as a date, and dates in the future or the wrong order.
Different spellings of the same thing
“Head Office”, “head office” and “HEAD OFFICE” would become three locations. They’re merged into the most common spelling.
One-word names
People are added from the Assigned Person column, which needs a first and last name.
Disposed assets still assigned
Something sold or retired can’t still be with a person or at a location.

Moving a register out of a spreadsheet

The cleaned file has the same columns as AssetCenter’s import template, with costs stored as numbers and dates as dates, so it imports as it is. The columns are plain enough to map into most other asset systems too.

Two things the checker can’t know: which categories, locations and people already exist in your account, and which acquisition and decommission events you use, such as Purchased, Leased, Sold or Retired. The import checks those against your account and can create new categories, locations and people as it goes.

Missing names and categories, duplicate asset tags, serial numbers shared by more than one row, costs and dates that aren’t numbers or dates, people recorded with only one name, retired assets still assigned to someone, and the same location or category spelled different ways.

No. The file is read and checked in your browser, and the cleaned file is written there too. Nothing is sent to AssetCenter or anyone else.

Yes. The cleaned file uses the columns of AssetCenter’s asset import template, so you can upload it on the Import page. The same checks run again on import, including against assets already in your account.

Only the obvious: extra spaces are trimmed, costs lose currency signs and commas, dates become real dates, and spellings you choose to merge are made consistent. A cost or date that can’t be read is left blank and listed, so you can fill it in. Everything else is left as it was, and your original file is untouched.
